Roles and Responsibilities Designation: Administration Executive Reports to: Manager Place of Posting: Udyog Vihar Ph-1, Gurgaon Working Hours: 9AM to 6:30 PM (Monday to Saturday) Brief Description of Role: Administrative Officer is expected to support the smooth functioning of the organization by extending all administrative support services. Role & Responsibilities: Facility management comprising of maintaining and optimizing various corporate facility. Supporting staff, streamline administrative processes with adhere to company policies. Supervise admin assistants / office boys, allocate tasks and ensure team efficiency. Ensuring smooth and pleasant experience for management, visitors and team members visiting the office. Coordinate and schedule appointments and allocation of meeting rooms, Assist CEO and senior management in coordination of meeting schedules, preparation for meetings, and any other administrative support. Ensure effective housekeeping, upkeep and maintenance of the office. Maintain inventory of office assets, supplies and materials, provide IT support to team members in coordination with vendors and create / maintain an efficient filling system and maintain important documents and records. Exposure in Corporate procurements and vendor management, coordinate banking work under guidance of the Finance team. Coordinate with insurance providers for various corporate and staff insurance policies, assist in preparation and coordination for internal Audit and liaise with directors and authorized signatories for documents and signatures on various corporate matters. Handle office petty cash and make judicious use of office resources while fulfilling admin responsibilities and assisting team members on various matters. Responsible for arranging suitable business travel (domestic / overseas), VISA and accommodation arrangements for management, directors and team members. Provide logistics supports for business activities and for various events as per requirement from time to time. Takes personal responsibility to do the right-thing-the-first-time. Desired Candidate Profile Desired Education, Experience and Competencies: Graduate in any discipline residing in close proximity to Office bear Cyber City with own two wheeler. Fluency in spoken and written English. 5+ years of experience in office administration. Excellent knowledge of MS OFFICE and hands-on with Excel. Punctual, Proactive, self-motivated and strong people skills with high level of integrity and honesty. High sense of commitment and accountability. High degree of tact, diplomacy and discretion. Ability to multi task and work under pressure. Candidate having worked in IT/ ITes industry will be preferred.
